Learn the 7 phases of building a pole barn with Beehive Buildings, including approximate timelines, points of contact and important building notes.
Phase 1: Contract & Payment
Point of Contact – Tressa
- After your contract is signed and we’ve received your initial payment, the Sales Manager will hand your project over to the Customer Service Manager.
- Our Customer Service Manager will be your main point of communication during Phases 2 through 5.
Phase 2: Plans & Permits
Point of Contact – Tressa
- We send your building sketch to our engineer and preliminary plans will be ready for your review within 2 to 3 weeks.
- Usually, preliminary plans are ready within two weeks; however, we like to give a little leeway in case our engineer needs additional time.
- When the preliminary plans are done, we will ask you to review the plans to approve or note any necessary changes.
- Please review your plans carefully, as changes to finalized plans may result in a Change Order fee.
- We anticipate the planning part of this phase to take approximately 3 weeks.
- If it takes longer than 4 weeks to finalize your plans, this delay may affect your start date.
- Once your plans are finalized, we can apply for your building permit.
- Depending on the city/county, the permit review process can take 4 to 8 weeks.*
*IMPORTANT NOTE: Most cities and counties are easy to work with and we rarely run into delays due to a building permit. However, permit delays do happen on occasion and we have no control over when a permit is issued. We stay in contact with city/county officials to get your permit issued as soon as possible, but please be aware that we need 6 weeks from when your permit is issued to your build’s start date. In rare instances, the city or county could delay your start date.
If you are applying for your own permit, it is important that you do so as soon as the plans are finalized. We need 6 weeks from when your permit is issued to when we start your building, so please be aware that delays in applying for the permit could result in your start date being pushed back.
Phase 3: Waiting

- We have everything we need from you and the city/county once your permit is issued.
- There will be a waiting period until Phase 4 begins, so please don’t be nervous or worry you are missing something.
- Tressa, our Customer Service Manager, will be in communication every couple weeks to check in and confirm the building schedule.
- We also will be ordering your building materials during this time.
Phase 4: Pre-Construction Meeting
Point of Contact – Tressa
- Approximately 6-8 weeks before your start date, you will meet with the Project Manager on site to discuss final building logistics, such as staging area(s), material delivery details and precise building placement.
- Our Customer Service Manager will continue to communicate any updates or necessary information up until construction begins.
Phase 5: Construction Schedule Updates

- Once we’re about 2 weeks out from your start date, you’ll start receiving tentative schedule updates from our Project Manager.
- Due to a few factors – such as weather days, small delays on building materials, etc. – our schedule can change from day-to-day, but we’ll keep you apprised of any necessary changes along the way.
- In order to run an efficient schedule (and considering the factors mentioned above), we run multiple jobs at one time.
- This means it’s likely that we will start your building and get the framing done, then pull off for a time to frame another building, and come back to finish the metal installation on your building.
- This is typical for the building industry and it is the reason why we ask for a 6-week building window on your contract.
IMPORTANT NOTE: Communication is our biggest priority and we feel that we can’t over-communicate during this phase. So, while you may find that you’re receiving daily updates, know that any overcommunication is because we care and don’t want to leave you wondering about where we are in the build process.
Phase 6: Construction Begins

- Materials will be delivered approximately 2 weeks before we start.
- Please note that we order some materials in bulk and not all materials on site will be used for your building.
- During this phase, you will receive a weekly email with our projected schedule for that week.
- We know your time is valuable and we will do our best to keep you informed and your construction schedule on time. If there are any unforeseen or last-minute changes to the weekly schedule, we will contact you by text or phone as soon as possible.
Phase 7: Construction Finalized
Point of Contact – Tabatha
- The city/county will complete a final inspection and then issue your certificate of occupancy.
- You will do a final walk-through with the Project Manager to ensure you are happy with your building.
- And it’s time to enjoy your new pole barn!
